Automated lead follow-up that stops when the lead is won
Most enquiries go cold because nobody replied in time, not because the lead was bad. Leadtrak chases every one on a schedule you set — and stops the moment the lead is marked won or lost, so nobody gets a follow-up email the day after they signed.
Included on every paid plan. Unlimited users. Built in the UK.
A sequence — each email with its own delay from the enquiry.
How it works
Enquiry in, follow-up out
Nothing to connect and nothing to schedule by hand. A lead that arrives at 2am is already in the sequence by 2:01am.
Write the emails
Each email gets a delay measured from when the lead enquired — immediately, two hours, three days. Steps are always shown in the order they will actually send, so what you see is what the lead gets.
Leads enrol themselves
Every new enquiry is enrolled automatically. Point a sequence at one funnel or let it cover all of them. Leads with no email address are skipped rather than silently failing.
It stops when it should
Mark the lead won or lost and the chase ends immediately. Unsubscribes stop every active sequence for that address at once, and prevent future enrolment.
Routing
The right lead reaches the right person
One shared inbox stops working the moment you have two salespeople. Routing rules decide who hears about what.
Match on what matters
Rules match on funnel, minimum score, source — or any combination. A rule with no conditions is a deliberate catch-all for everything else.
Notify, assign, or both
Send solar enquiries to Dave, assign anything over 80 points to the owner, and email a shared address for the rest. Rules run in order and the first match wins unless you say otherwise.
Answerable, not mysterious
Every routing decision is recorded. “Why did Dave not get that enquiry?” is a question with an answer, not a guess.
Built carefully
The parts that matter when nobody is watching
An email is never sent twice
Each send is claimed in the database before the message reaches the mail server. If two workers overlap, or a run repeats after a crash, the duplicate is refused. A late email is a nuisance; the same email twice makes you look broken.
Unsubscribe links cannot be forged
Each link is signed for that address and that account. Editing the address in the URL does nothing — you cannot use somebody else’s link to unsubscribe them.
Delays are absolute, not chained
Every delay is measured from the enquiry itself, not from the previous email. Editing email two cannot silently shift emails three and four into next week.
A broken sequence never loses a lead
Follow-up runs behind the capture write. If a sequence is misconfigured, the enquiry is still saved — the lead is the thing that earns you money.
One-off broadcasts, too
Beyond the drip, send a single campaign to every lead or to a saved smart list — announce a price change, a webinar, a seasonal offer. It reuses the same renderer and the same unsubscribe guard, queues recipients, and shows sent / skipped / failed counts so you know exactly what went out.
Questions
Follow-up, answered
When does a follow-up email actually send?
Each email in a sequence has a delay measured from the moment the lead enquired — immediately, two hours later, three days later, and so on. A worker checks every minute and sends whatever has come due, so timing does not depend on you having the browser open.
What stops a lead being emailed after they have bought?
Every sequence has a list of statuses that stop it. By default, marking a lead as won or lost ends the follow-up immediately, so nobody receives a “still interested?” email the day after they signed.
Can the same person be emailed twice by mistake?
No. Each send is claimed in the database before the email is handed to the mail server, using a uniqueness constraint. If two workers run at once, or a run is repeated after a crash, the second attempt is refused rather than sent.
How does unsubscribing work?
Every follow-up email carries a signed unsubscribe link. One click stops all active sequences for that address immediately and prevents future enrolment. The link is signed per tenant, so it cannot be edited to unsubscribe somebody else.
Can different leads go to different people?
Yes. Routing rules run in order and match on funnel, minimum score or source. A matching rule can email a specific address, assign the lead to a team member, or both — so high-value enquiries reach the right person without anyone watching the inbox.
